The document lifecycle
1. Draft
A document is generated from your project information and stays editable after generation — you refine it before it goes anywhere near a client.
2. Review
On the Business plan, documents carry a review status with reviewer notes and a review history, so you can see who looked at what, and when, before anything is issued.
3. Issue confirmation
Before a document version can be shared with a client or downloaded in the web and mobile apps, a responsible user must confirm it is suitable for issue. The exact confirmation wording and timestamp are recorded against that specific version — a real audit artifact, not a checkbox.
4. Distribution and sign-off
Share a read-only pack link with your client or principal contractor, and send the document to workers, who read and sign from their phones. Signing has no per-signature charge; workers added to projects count as active portal users while assigned.
5. Revision and supersession
When a document changes, a new version is created and the old one is marked superseded. Workers re-sign against the new version — and the signature against the version that actually applied is preserved, never overwritten.
6. Audit trail
Every version, review, confirmation and signature stays queryable, and the one-click Audit Pack merges the evidence for a project into a single audit-ready PDF.

Frequently asked questions
Which documents does the controlled workflow cover?
The versioning and issue-confirmation workflow applies to the generated compliance documents — RAMS, Construction Phase Plans, COSHH assessments, site inductions, emergency plans and toolbox talks — on every plan. Worker sign-off applies to the documents workers must acknowledge, with re-sign required when a signed document is revised. Review status, reviewer notes and review history are part of the Business plan.
Can a document go out without being checked?
Not silently. A document version must have a recorded issue confirmation from a responsible user before it can be shared with a client or downloaded in the web and mobile apps. The confirmation stores who confirmed, when, and the exact wording they agreed to — so in a dispute you can produce the record.
What happens to signatures when a RAMS is revised?
The previous version is marked superseded and workers sign the new version. Signatures against the superseded version are kept, so you can always show which version each worker had actually signed at any point in time — that is the record an HSE inspector or principal contractor cares about.
Is this the same as an enterprise approval workflow?
It covers the parts that matter on real sites: versioning, pre-issue review, a recorded confirmation gate, supersession and re-sign. It is deliberately lighter than an enterprise governance product — there is no multi-step approval chain to configure, which is exactly why builder-run firms actually use it. Firms that want a formal gate can switch on named-approver routing (Business): a designated approver accepts or rejects each version, with recorded reasons, before it can be issued — and the client you share a document with can approve or request changes straight from the share link.
Do workers need an account to sign?
Workers receive a secure link and sign from their phone's browser, with nothing to install and no per-signature charge. The Site Book automatically gives a worker added to a project a worker portal identity, which counts in the active portal-user total while assigned. Key induction details can be read and acknowledged in 9 languages, with the language recorded in the audit trail.
