These Terms & Conditions (“Terms”) govern your use of The Site Book, a construction compliance software service operated by SectorHQ Ltd, registered in England and Wales (“we”, “us”, “our”). By creating an account or using the service, you agree to these Terms.

1. The Service

The Site Book provides tools for creating, managing, and storing construction health and safety documents including Risk Assessments and Method Statements (RAMS), Construction Phase Plans (CPP), COSHH Assessments, Site Inductions, Toolbox Talks, and related compliance records.

The service is intended for use by construction industry professionals in the United Kingdom. It is designed to assist with compliance under the Construction (Design and Management) Regulations 2015 (CDM 2015), RIDDOR 2013, and related legislation.

2. Important limitation — not legal advice

⚠️ The Site Book is a software tool, not a legal or health and safety advisory service.

Documents created by The Site Book are based on information you provide and standard templates. They do not constitute professional health and safety advice. You remain responsible for:

  • Reviewing all documents for accuracy and completeness before use
  • Ensuring documents are appropriate for the specific hazards and conditions on your site
  • Compliance with all applicable legislation, regulations, and industry standards
  • Appointing competent persons as required by CDM 2015 and related regulations

3. Account registration

You must be 18 or older and acting in a professional capacity to create an account. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Notify us immediately at support@thesitebook.co.uk if you suspect unauthorised access.

4. Your data and content

You retain ownership of all data you input into The Site Book, including project information, worker records, and uploaded documents. By uploading content, you grant us a limited licence to process and store it solely to provide the service to you.

You are responsible for ensuring that personal data you enter about workers and third parties is accurate and that you have a lawful basis to process it. See our Privacy Policy for details.

5. Acceptable use

You agree not to:

  • Use the service for any unlawful purpose or in violation of any applicable regulation
  • Upload documents containing unlawful content or content that infringes third-party rights
  • Attempt to reverse-engineer, scrape, or extract data from the service in bulk
  • Share your account credentials with third parties or create accounts on behalf of others without authorisation
  • Use generated documents as a substitute for site-specific professional assessment where one is legally required

6. Subscription and payment

The Site Book offers a free tier (one project, watermarked PDFs) and paid Pro plans. Current pricing is displayed on the pricing page. Subscriptions renew automatically unless cancelled before the renewal date.

Payments are processed securely by Stripe. We do not store your card details. Refunds are considered on a case-by-case basis — contact support@thesitebook.co.uk.

We reserve the right to change pricing with 30 days' notice. Existing subscribers will be notified by email before any price change takes effect.

7. Availability and service changes

We aim to maintain high availability but do not guarantee uninterrupted service. We may modify, suspend, or discontinue features at any time. We will provide reasonable notice of material changes where possible.

We recommend you regularly download Audit-Ready Packs for active projects. The Site Book is not intended as your sole archive for legally required compliance documents.

8. Intellectual property

The Site Book software, interface design, document templates, and brand are owned by SectorHQ Ltd and protected by copyright. You may not copy, reproduce, or create derivative works from them without our written permission.

Document content created from your inputs is yours. Template structure and formatting remains ours.

9. Limitation of liability

To the maximum extent permitted by law:

  • We are not liable for any health and safety incident, enforcement action, fine, or prosecution arising from the use of documents created by The Site Book
  • We are not liable for any loss of data resulting from your decision to delete your account or any service interruption
  • Our total liability to you in any 12-month period shall not exceed the total fees you paid to us in that period
  • We are not liable for indirect, consequential, or punitive losses

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other matter that cannot be excluded by law.

10. Indemnity

You agree to indemnify and hold harmless SectorHQ Ltd from any claims, losses, or expenses (including legal fees) arising from your use of the service, violation of these Terms, or infringement of any third-party rights.

11. Termination

You may terminate your account at any time via Settings → Delete Account. We may suspend or terminate accounts that violate these Terms, with notice where reasonable.

On termination, your data is deleted in accordance with the retention periods in our Privacy Policy. CDM and RIDDOR records may be subject to mandatory minimum retention periods.

12. Governing law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to these Terms

We may update these Terms. We will notify you of material changes by email or in-app notice at least 14 days before they take effect. Continued use after the effective date constitutes acceptance.
