Worker tracking

Never get caught with an expired CSCS card

Add your workers once, use them across every project. We track their certs and alert you before anything expires.

How it works

Set it up once. Never worry about expired certs again.

1

Add workers to your directory

Name, trade, contact details. Do it once — they're available for every project going forward.

2

Upload their certs and checks

CSCS cards, first aid, IPAF, PASMA, asbestos awareness — whatever they've got. Record right-to-work checks too: share code, outcome, expiry and the evidence file. We store it all.

3

Assign them to projects

Drag workers onto a project. Their certs, qualifications, and induction status travel with them.

4

We alert you before anything expires

Email and in-app alerts before a cert or right-to-work check lapses. No more finding out on site when an inspector asks.

What's included

  • Worker directory — your whole team in one place
  • Cert expiry alerts — email and in-app, before anything lapses
  • CSCS card capture, review and expiry tracking with card types
  • First aid, IPAF, PASMA, and custom qualification tracking
  • Right-to-work records — share code, outcome, expiry date and an evidence file, with expiry reminders
  • Site induction sign-offs — digital signatures on any device
  • Project worker assignment — know who's on which site
  • Subcontractor worker tracking — their people, your oversight
  • Qualification history — see what's current, what's expired, what's coming up

If an inspector asks who's on site and whether they're qualified — you've got the answer in two taps.

No spreadsheets. No ringing the office. Open the app, show them the worker's profile, their certs, and their induction sign-off. Sorted.

That's the difference between compliance software and a folder full of photocopies.

Common questions about worker tracking

What certs can I track?

Anything your workers hold — CSCS cards, first aid at work, IPAF, PASMA, asbestos awareness, SMSTS, SSSTS, NVQs, and any custom qualifications you add. Each cert has an expiry date, and we alert you before it lapses so you can get renewals sorted in advance.

Can I record right-to-work checks?

Yes. For each worker you can record a right-to-work check — the share code, the outcome, the expiry date, and an uploaded evidence file — kept against their profile with expiry reminders so a time-limited right to work never slips past you. It's a structured record of the check you carry out, not a live Home Office verification: you do the check, The Site Book keeps the evidence organised and audit-ready.

How does CSCS card tracking work?

Workers present or upload their CSCS card, a manager reviews and confirms it, and the card type and expiry are stored against the worker — with alerts before it lapses. It's capture and manager review with expiry tracking, so you always have current evidence of who's carded on site.

Does it work for subcontractor workers?

Yes. You can add subcontractor workers to your directory and track their certs the same way. When they're assigned to your project, their qualification status is visible alongside your own team. If a sub's worker has an expired cert, you'll know before they turn up on site.

How far ahead do alerts go?

We send the first alert 90 days before expiry, then again at 30 days and 7 days. That gives you plenty of time to arrange renewals or replacements. You can see all upcoming expiries in one dashboard view, sorted by date.

Does this cover training compliance for my whole workforce?

Yes — that's the point of the feature. Every worker's training, tickets, and qualifications sit in one place with expiry dates, so you can see at a glance who is compliant, who is about to lapse, and who should not be on site. Add site induction records and per-worker RAMS sign-off, and you have a full training-and-competency compliance picture per project — exportable when a principal contractor, client, or auditor asks for evidence.

Where it helps and where it doesn't

Pros

  • CSCS, first aid, and plant ticket expiry tracked per worker
  • Right-to-work evidence records: share code, outcome, expiry and evidence file
  • Automatic renewal alerts by email before a cert or check runs out
  • Photo upload of cert back/front for on-site verification
  • Per-project competency reporting for principal contractors

Cons

  • No CSCS Smart Check API integration — uploads are manual
  • No biometric authentication on cert uploads
  • Subcontractor-managed cert uploads need a shared login flow (manual)

Why The Site Book

  • UK construction compliance tool that ships RAMS + CPP + COSHH + inductions (readable and acknowledgeable in 9 worker languages on Business, with the language audit-recorded) + worker sign-off, including optional 4-digit shared-link PIN evidence on Business, plus site attendance, portal users, site files, document reviews, subcontractor evidence and inspections/actions.
  • Generate a site-specific RAMS first draft from a natural-language brief in under five minutes, ready for competent-person review - not a template library you hand-fill.
  • Controlled document workflow without an enterprise contract: version history and a recorded issue confirmation before a document is shared with a client or downloaded in the app on every plan, re-sign on revision with superseded signatures preserved plus PCPP import, cert tracking and document checking from the £39/month Pro plan - and on Business, optional named-approver routing (a designated approver accepts or rejects each version, with recorded reasons, before it can be issued) plus client approve/reject/request-changes via share links.
  • Transparent pricing: Starter £0, Pro £39/month or £360/year, Business £199/month with 10 management logins and 50 active site portal users. Worker document signing has no per-signature charge; project workers count as active portal users while assigned.
  • Build RAMS for any trade - add your own work types and method statements alongside the built-in library, reusable across projects, including a ready-made Commercial Solar PV group. Save a finished job as a reusable project template, or clone it, so the next job of the same shape starts from your own setup.
  • COSHH goes deep: a standalone COSHH assessment document, upload-a-Safety-Data-Sheet extraction, a site-specific substance register and an expert-reviewed library - plus per-worker RAMS sign-off and a one-click Audit Pack covering documents, sign-offs, worker evidence, attendance, incidents, COSHH, permits and up to the latest 500 live Site Diary entries.
