Subscribe to your due dates in Outlook, Google or Apple Calendar
Pro and above
A calendar feed is a private web address that Outlook, Google Calendar and Apple Calendar can subscribe to. Your company's due dates then appear in the calendar you already use and update by themselves. It is read-only: changing an event in your calendar does not change The Site Book.
Turn on the calendar feed
Open Settings → Integrations and choose your company in the Company box at the top.
On a phone, tap the Settings menu button at the top of Settings and choose Integrations. If you belong to only one company it is already chosen.
Under Scheduling, click Turn on calendar feed on the Calendar feed row.
Only an owner or admin sees this button. The feed comes with Pro and above.
Copy the address, or click Add to Google Calendar, Add to Outlook, Add to Outlook.com or Add to Apple Calendar.
The address is shown only this once, so copy it now if you want to add it elsewhere. Add to Outlook is for work or school Microsoft 365 accounts; Add to Outlook.com is for personal Outlook.com and Hotmail accounts. In Outlook on the desktop you can also choose Add calendar → Subscribe from web and paste the address.
Get a new address or turn the feed off
On the Calendar feed row, Regenerate creates a new address and stops the old one working at once — use it if the address has been shared with someone who should not have it, or if you have lost it. Everyone subscribed needs to subscribe again with the new address. Turn off stops the address working and removes the feed; turning it on again later gives a new address. Calendars that were subscribed keep the events they last downloaded until you remove the subscription in the calendar app.
Frequently asked questions
What appears in the calendar feed?
All-day events for dates your company has entered in The Site Book: project start and finish dates; worker certificate expiries; permit-to-work end dates; subcontractor insurance, RAMS and liability expiry dates; and COSHH safety data sheet review dates. On Business and above it also adds expiry dates from the company document library and, where the plant register is switched on for your company, each plant item's next inspection and certificate expiry. Review dates of RAMS and other generated documents are not included. It covers the last 30 days and the next 18 months. Archived projects and archived plant are left out. Each event links to the matching page in The Site Book — the project, permit or plant item, or the Workers, Subcontractors, Company documents or COSHH page.
Why don't worker certificate events show names?
Your calendar app and its servers (for example Google or Microsoft) read the feed, so it carries as little personal information as possible. Worker certificate expiries are grouped by day — for example "2 worker certificates expire" — with the certificate types listed. Open Workers in The Site Book to see who. Right-to-work follow-up dates are never included.
Why can't I see the calendar address again?
The address works like a password: anyone who has it can see your company's dates. So The Site Book keeps only a scrambled copy and shows the address once, when you turn the feed on or regenerate it. If you lose it, click Regenerate on the Calendar feed row to get a new address — the old one stops working straight away.
Someone who had the address has left — what should I do?
Click Regenerate on the Calendar feed row. The address belongs to the company, not to the person who turned it on, so it keeps working after they leave until you regenerate it or turn it off. Then give the new address to the people who still need it.
How quickly do changes show in my calendar?
Your calendar app decides when to check for changes, and some check less often than others, so a new or changed date can take a while to appear. Updated dates replace the old event rather than adding a copy.
Who can turn the feed on?
An owner or admin of the company, on Pro and above. Team members can see whether the feed is on but cannot see or change its address. If the company moves below Pro, the row shows Paused — needs Pro or above and the address stops returning dates; it starts working again when the plan is restored, so if you no longer want it, click Turn off — that works on any plan.
