Site files and updates for your portal users
Business and above
On the website, open your project's Site Info tab (Site Access must be enabled from the Access tab first). The Site files section is what your portal users see in their document library. In the Site Book app, open the project and choose Site files; every project member with read access can find the document library there.
Upload a file
Give it a title, pick a category and click Select file.
Tick Requires acknowledgement before work starts if it's must-read.
Click Upload site file.
Notify people: Notify all, Notify selected, or Request acknowledgements on must-read files.
Files you have removed or replaced
When replacing a file by URL, choose a site file uploaded for this project. A photo or document uploaded for another purpose or project cannot be attached as this site file. Pasted external or public links are still supported.
Remove takes a file out of the portal and Replace retires the old version. Either way the file stops being something the portal can show, so Notify all, Notify selected and Request acknowledgements no longer act on it — and any outstanding acknowledgement request for it is withdrawn. Upload or restore the current version first, then notify.
If replacement says the review recipients changed, no new version was published. Refresh and try again so any requested acknowledgements reach the current managers.
Send a site update
The Site updates panel sends a titled message to all assigned contractors, contractor managers only, or selected portal users — click Send site update. Use it for programme changes, access changes, anything the site needs to know today.
Where this lives in the Site Book app
In the Site Book app, open the project and choose Site files. You can filter files by category, see whether each file is active and visible on site, open or share it, and — as an owner or admin — upload a PDF or image with its title, category and acknowledgement setting. Owners and admins can also edit metadata, replace or remove a file, notify all or selected portal users, and request acknowledgements directly from the app. The Send site update button is available to owners, admins and the project’s delegated Site Access managers. Other members with library access can read and share files. If the app says Site files are locked, choose Open upgrade page to manage your plan on the website, then return and choose Try again to check access.

What file categories are there?
Drawings, plans, H&S documents, procedures, RAMS, CPPs, emergency information and other — the category shows in the portal so people find the right file fast.
What does "Requires acknowledgement before work starts" do?
It marks the file as must-read: you can then request acknowledgements and see who has confirmed reading it — the evidence trail that the drawing revision or procedure actually reached the crew.
What happens when I replace a file?
You choose: re-request acknowledgements for the new version, or replace quietly without new requests. Re-requesting is the right call when the content change matters on site.
