Use case · Construction plant register

Know what equipment you have, where it is and what the record supports

For builder-run firms that have outgrown a spreadsheet but do not need a fleet telematics or hire-accounting platform.

Who it fits

Significant equipment across more than one live job

Keep owned, hired and subcontractor-supplied equipment in one company record, then attach the right assignment period and evidence trail to each project.

  • Builder-run firms with roughly 10–50 employees
  • Small and medium contractors managing 20–200 significant equipment items
  • Builders running owned and hired plant across several projects
  • Principal contractors using Business for their own company equipment

Working flow

From the office register to the project evidence request

01

Import the spreadsheet

Bring in the register you already maintain. Review the sheet, columns, dates, duplicates and proposed updates before committing anything.

02

Record the project period

Plan the item, approve it, mark it on site and remove it when it leaves. A return to the same project starts a new preserved assignment period.

03

Keep field evidence connected

Record checks, failed items, defects, corrective actions and quarantine against the asset and the project where the event occurred.

04

Answer the evidence request

Export the register or project history and include Plant records in the Audit Pack, with explicit unknowns where the stored history cannot support a stronger claim.

The register records evidence; it does not make the safety decision

Track LOLER certificates and dates, PUWER inspection evidence and your own configured check schedules. A status reflects those recorded requirements. It does not perform an examination, guarantee PUWER compliance, prescribe every interval, certify an item as safe or replace competent-person judgement.

Where it helps and where it doesn't

Pros

  • One company register for owned, hired and subcontractor-supplied equipment
  • Project assignment periods show where an item was used and preserve the history when it leaves
  • Site teams can record Plant checks, defects and corrective-action follow-up from the project
  • Plant history and available evidence can be carried into the project's Audit Pack

Cons

  • Designed for significant equipment records, not stock control for every low-value consumable
  • No telematics, utilisation, fuel, servicing workshop or hire-accounting module
  • A green register state reflects recorded requirements and evidence; it never replaces a competent person's decision

Upload the spreadsheet you already have

Keep its useful data, then connect the register to the projects and evidence that spreadsheets leave separate.
