Plot-by-plot handover sign-off

Open your project's Plots tab (Site Control). The board shows every plot on the development with a progress ring — how many trades have signed off — and a Complete badge when a plot is fully handed over.
Set up the board
Use Add a plot for one, or Add a range for the lot.
A project can hold up to 500 plots. Past that, Add and Add range refuse with "This project already has N plots — the limit is 500." and create nothing.
Open a plot to see its Trade sign-off list — each trade shows Signed or Waiting.
Sign a trade off
Manual: click Mark signed on the trade row (undo with Unmark).
A repeated mark keeps the first manual tick's time. Unmark removes the tick but keeps any signed document. In manual-tick mode the tick determines completion; in modes that accept signed documents, the date shown is the document's first signature, including after a mode change.
Signed document: click Set up sign-off, fill in the who/what/when/where, and click Create sign-off link.
Hand the link to the contractor's phone — they sign and the trade flips to "Signed off (document)" straight away. The signed copy is prepared in the background (the page shows "Preparing your signed copy…" while it does); once it's ready they tap Finish & email the signed copy to send the certified PDF — with the note and timestamp — to the account owner and the contractor. Delivery is tracked separately for each recipient. Pending delivery retries automatically; if an address has bounced or delivery cannot be confirmed safely, the page names the affected role and tells you to check the address or contact support. Those recorded recipient outcomes do not offer Send again. If the browser loses the response before it can show an outcome, it may offer Send again; that retries the same delivery to its original recipients.
Use plot sign-off in the mobile app
Open Projects, choose the project, then tap Plots under Site activity.
The row appears when that project has plot sign-off access. The board shows the same signed-off total, per-plot percentage and Complete badge as the web app.
Tap Add plots to add one reference or a numbered range.
The range starts at Plot 1 and can add up to 500 plots in one request. Existing references are skipped safely.
Open a plot to Mark signed or Unmark each trade.
Manual controls appear only when the project's sign-off mode allows them. A trade completed through a signed document cannot be undone with a manual control, so those controls are hidden for that row. In manual-tick mode a waiting trade can still be marked when a document is linked. Use Plot actions to rename or delete the plot.
Frequently asked questions
What counts as a plot signed off?
Every trade on the plot showing Signed. A trade signs off one of two ways, depending on your project's mode: you mark it signed manually, or the contractor signs a document via a sign-off link — which records the trade as signed immediately, and lets the signer send the certified PDF to the account owner and the contractor with Finish & email the signed copy. The exact signed revision, message and recipient are fixed before delivery. If two people finish at the same time, they reuse the same delivery. If a provider result is uncertain, the page shows that delivery is pending while bounded automatic retries run; it asks you to contact support instead of risking a duplicate once delivery needs manual checking.
Can I create fifty plots at once?
Yes — "Add a range" generates numbered plots in one go (Plot 1 … Plot N).
Is there a limit on how many plots a project can have?
Yes — 500 plots per project, which covers any single development (a typical one has around 55). Both Add a plot and Add a range stop at that ceiling: if a range would take you past it, nothing is created and you'll see "This project already has N plots — the limit is 500. Delete some plots before adding more." Re-running a range you've already added is fine — plots that already exist don't count towards the limit again.
The page says "Preparing your signed copy…" after signing — is something wrong?
No — that's normal. After a signature is captured, the signed copy (the original document with the signature page attached) is put together in the background. The Download Signed Copy button — and Finish & email the signed copy — become available as soon as it's ready. If it's still preparing when the page closes, reopening the same sign-off link picks up where it left off.
