Site Safety Setup: fill the 11 details that unlock your documents
Available on all plans
Every project has 11 mandatory site safety details — things like site rules, fire strategy and first aid arrangements. They're filled once, and each detail feeds the core documents that use it (fire strategy appears in all four; emergency scenarios only in the emergency plan). Until all 11 are complete, the four core documents — CPP, RAMS, site induction and emergency plan — stay locked.
The Site Safety Setup flow collects them in three short steps. Open it from the project Overview: Classic uses Complete safety details; New shows one Site safety details card with the full X of 11 count and uses Start safety details after the client has been added. Both controls open this same setup flow and edit the same 11 fields. A locked document card on the Documents section ("Complete your site safety details (X of 11) to create this") takes you to the same place.
Work through the three steps
The 11 fields are grouped into three steps: Site rules & welfare (Site rules, Welfare facilities), Risks, training & fire (Key risks, Training requirements, Fire strategy, Fire assembly point) and Emergency & first aid (Emergency procedures, Emergency scenarios, Utility isolation points, First aid arrangements, Nearest A&E).
On a desktop, the step names sit across the top; on a phone you get a compact header instead, like "Step 1 of 3 · Site rules & welfare", which opens a sheet listing all three steps. Only steps before your current one can be clicked (or tapped in the sheet) to go back — moving forward is always the Next button.
The "Site safety details — X of 11 complete" bar under the steps updates as you type, and each filled field gets a Done badge. Fields still empty are marked with an asterisk.
Let AI, your PCPP or the address lookup do the typing
Click AI Suggest to draft every empty field at once.
It proposes site rules, risks, training needs and emergency procedures from your project's scope of works. Drafted fields get an AI draft — review & edit badge — always read and adjust them before saving; the badge clears as soon as you edit the field. If a field needs a confirmed site fact, it stays empty and shows Site detail needed with the exact detail to supply. This is a normal result, so you can still use the other drafts.

Same AI, one field at a time. Welfare facilities, the fire alarm and escape arrangements, assembly point, utility isolator locations, first aider and kit location, and nearest A&E need confirmation by someone who knows the site. An uploaded PCPP summary is useful context but does not by itself verify these operational details for an AI draft. Enter them in the fields yourself, or use the dedicated A&E lookup for the hospital.
For Nearest A&E, click Look up nearest A&E from the site address.
It finds the closest A&E from the project's site address, so the button needs an address on the project first (add one on the Details tab).
On a PCPP-sourced project, review the pre-filled fields.
The flow opens with "We filled N of 11 from your PCPP" and tags those fields From your PCPP — confirm or edit them rather than retyping. See Site Info for how the PCPP upload itself works.
Finish, or save part-way
Move between steps with Back and Next.
On the last step, click Finish setup — or Save progress if fields are still empty.
Everything you've typed is saved to the project either way, and you're returned to the overview. If fields are still missing you'll see exactly which ones ("Saved X of 11 — N still needed"), and the core documents stay locked until all 11 are filled.
Edit any detail later on the project's Details tab.
The fields are single-sourced — the setup flow and the Details tab's Safety / Emergency Information sections write the same values. Regenerate a document after changes: existing PDFs are frozen snapshots and won't update themselves.
Frequently asked questions
Why are my CPP, RAMS, induction and emergency plan locked?
Those four core documents only generate once all 11 site safety details are filled — they draw on these fields, so generating without them would produce unsafe blanks. Lightweight CPPs and Toolbox Talks are exempt from this lock, though Toolbox Talks have a separate prerequisite of their own: on projects where you're running the job, the Documents tab keeps them locked until the project has a generated RAMS ("You need your RAMS before this — create it first"). The locked card on the Documents tab says how many safety details are still needed and takes you straight to the setup flow.
Do I have to finish it in one go?
No, but save before you leave — your answers only live in the browser until saved. Click Next through to the last step (Emergency & first aid), where the finish button reads Save progress until all 11 are filled; clicking it saves everything you've typed across all three steps. You'll get an honest count of what's still needed, and the core documents stay locked until every field has something in it.
What happens if someone changes a safety detail while I have the setup open?
On the website, Finish setup (or Save progress) saves only the details you changed. Anything you left alone is not written, so it cannot overwrite a newer value. If somebody else changed one of the details you edited after you opened the flow, nothing is saved and a notice at the top of the page shows, for each detail that changed, what the project says now beside your text. Your answers stay in the flow. For each one, select Use the project's text to take theirs, or Keep my text to replace theirs with yours, then select Finish setup (or Save progress) again. The fire assembly point, utility isolation points and nearest A&E are checked separately: if they changed while your page was open, nothing is saved and a notice at the top of the page asks you to select Reload this page and make your changes again.
Where do I edit these details later?
On the project's Details tab, under its Safety and Emergency Information sections — the setup flow and the Details tab edit the same single-sourced fields. Remember that generated documents are frozen snapshots: after changing a safety detail, regenerate a document for the change to appear in it.
Why can't I edit site safety details in the mobile app?
In the Site Book app the setup flow's Finish setup button, the AI draft buttons and the A&E lookup need an owner or admin account — a team member can read every detail but the save is refused, so the app doesn't offer the controls. They're also unavailable while a plan is inactive or mobile writes are switched off. Owners and admins edit the same fields on the web under the project's Details tab.
What if an AI draft is temporarily rate-limited?
An AI draft or PCPP import can return 429 Too many requests. Please try again later. Wait a little, then retry the request. Limits apply to each signed-in user across the web app and Site Book mobile app when AI work is about to run; ordinary project setup and reading a saved induction translation do not use an AI request.
Why do some fields say "From your PCPP"?
If the project was created from an uploaded PCPP/PDF, the AI extraction pre-fills what it found and the flow opens with "We filled N of 11 from your PCPP". Fields it filled carry a From your PCPP badge — review and confirm or edit them before saving, and fill the ones it couldn't.
